Procedures for checks 

The following are necessary procedures for accepting checks from clients:   

Payment should be received upon invoice for cash or credit card only.   Checks can be accepted only from known customers who do repeat business.  Exception - Checks for tours/cruises where you are not handing out documents for 20 days will be accepted.  (This allows time for check to clear bank)  Under NO CIRCUMSTANCES should you accept a check for travel within 20 days.  If this situation arises, you will need to ask the customer for a credit card or to go to bank and get cash or a cashiers check/money order.

ALL CHECKS RECEIVED  must have the following written on the front of the check.  Please verify with customer that all information on check is correct.
Date of check must be dated within 5 days of when we received!

Phone number (home and business)

Driver’s license number and state  (Verify by looking at driver's license)
v   The correct address
v  
Agent number in the left-hand corner. This is the agent  number that accepts the check.
 

vDo not accept a check on one-way travel.
vDo not accept checks that do not have the bank name on the check.

Procedures for accepting credit cards 

As you may be aware, Spears is always liable for any credit card charge unless we have a signed, imprinted, ARC UCC form.  (The signature must match the signature on the credit card and be backed up with a valid drivers license.)  

Due to the fact that we have received several debit memos on fraudulent credit card payments, the following policy changes will become effective immediately:

Known customers:

Use your best judgment – We don’t want to inconvenience our regular customers and this has not really been an issue in the past.  However, you should always do a credit card authorization and address check. 

To check a credit card’s validity to the users address.  You need to use the following format in Sabre:

  • Gather cardholder billing address and associated credit card number from your customer.

  • Once  you have completed a PNR, and you are getting ready to issue the air tickets with a credit card, and have completed the ticketing format (e.g. W#AAA#KP0#DP)

    Sabre will respond with the following message 

    Must provide CC data - use CC/ to input data in PNR

    At that point the agent has two options, if they enter CC/ it will bring up a mask, requesting the name and address of the credit card holder, and when they repeat the ticketing entry, Sabre will check the information given against the actual address of the card holder. If it does not match, it will not issue the ticket and will tell you that the address does not match.

    The other option that is available at any time is to enter CC/PC to indicate this is a preferred client, and there is no need to verify the address. 

     

Unknown customers:   *** VERY IMPORTANT ***

On unknown customers you must ALWAYS use the CC/ entry in Sabre to check the validity of the credit card with the customers address.

You must have the customer come to the office with his/her credit card and then validate with a UCC form.   Obtain the signature, match to the credit card and drivers license.  Or you may have the customer fax a copy of the front and back of their credit card and drivers license.   (Email copies not accepted).  Please be wary of anyone that does not want to come to the office and sign a UCC form.

You should NOT do any tickets for unknown passengers for tickets that originate at any international destination!  You should also not issue any one-way tickets for any destinations.

If you have any questions at all concerning issuing any types of tickets you should contact your manager and get their written permission. 

Always mail an invoice/itinerary to the billing address on the credit card.  Regular mail.

By following these scenarios you are not only protecting us but also just as important you are protecting your clients from fraud.  

Due to the changes in the industry, the company is no longer able to absorb this cost, so the employee will be responsible for 50 percent of the amount that Spears has to pay for the fraud in the event the policy is not strictly adhered to.
